The Hidden Cost of Small Tasks

For projects with dozens or even hundreds of source files, that meant copying and pasting large amounts of data line by line.

Designing a Practical Solution

The opportunity was clear: eliminate the manual effort without disrupting the existing workflow.

Our Solutions team partnered with Engineering to evaluate the best approach. After reviewing several options, we landed on a locally hosted solution that could integrate directly with internal project folders while remaining fast, lightweight, and easy for Project Managers to adopt. The goal wasn't to reinvent the process. It was to streamline it.

From Manual Effort to Intelligent Automation

The resulting solution dramatically simplified the workflow.

Instead of manually compiling information, Project Managers now simply copy the project location and paste it into the tool. From there, the system automatically extracts all required project details. That data is then inserted into a standardised certificate template, with built-in quality checks that flag any inconsistencies before finalisation.

Finally, the system generates a ready-to-deliver PDF with a pre-applied signature. No additional steps are required. What once involved multiple manual touchpoints now happens in a single, streamlined action.

The Impact: From Minutes to Seconds

The results were immediate.

For projects with 40 or more source files, certificate creation time dropped from over five minutes to under 30 seconds. For larger projects that exceed 100 files, the process went from 15 minutes to less than one minute.

Individually, those savings may seem incremental. At scale, they're substantial. For a smaller account processing just a handful of projects per day, the automation saves more than eight hours of Project Manager time each month. Over a year, that's nearly 100 hours redirected to higher-value, client-focused work. As the solution expands to additional accounts, those gains multiply further.

More Than Speed: Improving Quality and Focus

Speed was the initial driver, but the benefits extended well beyond time savings.

Standardising the certificate creation process reduces the risk of errors that commonly occur during high-volume manual data entry. It also ensures consistency across deliverables, supporting both operational reliability and client expectations.

Most importantly, it freed up Project Managers to focus on what matters most — quality, communication, and delivery oversight — rather than repetitive administrative work.
